Course Disclosure Procedure
At the beginning of every course, the instructor distributes a written course syllabus and/or program manual to all students taking the course. The course outline describes the objectives and content for the course and the method by which students’ work will be evaluated for grades. Students should refer to this on a regular basis during the semester.

Semester Grade Point Average (GPA) and Quality Points
Grades received earn quality points as indicated in the table, above. A grade point average is computed by dividing the number of quality points earned by the total number of credit hours for which the student is registered. A semester grade point average is computed based on courses attempted during the semester.
Cumulative Grade Point Average (CGPA)
The cumulative grade point average is computed for all of the courses a student has taken at Trocaire. It changes whenever a new semester’s grades are calculated and is a reflection of student progress in all work. In cases of repeated courses, the last grade earned is used in the cumulative GPA calculations, if the course is repeated at Trocaire.
Incomplete Grade Request (I)
An Incomplete grade request is initiated by a student who has completed at least 70% of a course and holds a C or better at the time of the request. Incomplete grades are provided for exceptional circumstances that render it difficult for a student to complete the final elements of course. Incomplete grade requests are initiated by the student and arranged in partnership with the instructor.
All course requirements, set forth by the instructor, need to be completed within 30 calendar days after the request was granted, or a final grade of F will be awarded.
The 30 day completion requirement can be waived, under extenuating circumstances, with written permission of the Chief Academic Affairs Officer.
In Progress Grade Request (IP)
In Progress grade requests will be considered for students whose course is anticipated to extend past 30 days (e.g. research project, internship, clinical, etc.) and have completed at least 70% of a course, hold a C or better in the course at the time of the request, and who have exceptional circumstances that render it difficult for a student to complete the final elements of course. In Progress grade requests are initiated by the student and arranged in partnership with the instructor.
All course requirements, set forth by the instructor, need to be completed within 7 calendar days prior to the start of the next semester, or a final grade of F will be awarded.
The completion requirement date can be extended, under extenuating circumstances, with written permission of the Chief Academic Affairs Officer.
Repeat Course Procedure
A student may repeat a course to replace a failing grade, withdrawal, or to seek to improve the student's record when the student's first attempt resulted in a passing grade. Prior to repeating a course, it is advised (but not required) that the student meet with their advisor to plan for future successful completion of the course.
A student may self-enroll in a course two times (first and second attempt). Students may repeat a course only once, second course repeats (third attempt) are not permitted without signed authorization from the Dean/Program Director of the academic program in which the student is enrolled. The Dean/Academic Program Director may follow up for additional details or request a meeting before making a decision to accept or reject the request. The student will be notified of the decision via email.
While a grade of “W” does count as an attempt, it does not count as a failure. Students will be allowed to repeat a course for which they have received a grade of “W” only once.
If a student chooses to repeat a course that they have passed but wants to improve their grade, the credits for the repeated course cannot be considered degree applicable for the purpose of certifying a New York State TAP award. Students may repeat a course with a passing grade only once to be considered degree applicable in the calculation of Federal Aid. A second repeat or third attempt with an already passing grade will not be considered degree applicable. A student planning to repeat a course should consult a financial aid advisor to identify potential ramifications of this type of course repeat on their financial aid eligibility status.
In cases of repeated courses, the last grade earned is used in computing the grade point average (GPA). However, all grades earned for courses taken at Trocaire remain part of the student’s permanent record, irrespective of whether the original course grade has been replaced by a repeat course grade.
Students may not use a Directed Study, Independent Study, or Challenge Exam to replace a course grade in a traditional class in which a failing grade was earned.
If a student registers to repeat a course for a third time without following the procedure above for approval, the student will be unenrolled from the course. The student will receive an email notification when they are unenrolled from the course along with the procedural guide for repeating a course.
