Academic Alerts & Warnings
There are a number of times in a students educational experience when they may receive an academic warning. The warning is given to provide students with a notice they may need to change their approach to successful academic completion of their program.
Examples of academic warnings include:
1. Student Action Alerts
A Student Action Alert is a student success resource, not a disciplinary measure. At any point in the semester, course instructors and/or college staff are able to electronically submit a Student Action Form for students they have identified as needing additional supports to be successful in their course(s) or at the College. Once a Student Action Form is submitted, members of the college support staff and/or faculty will email the student to suggest interventions to assist the student with the issues identified.
2. Midterm Warnings
At midterm, students will receive a midterm notification for all courses notifying them of their current standing. The communication serves to provide grade transparency and does not affect the student’s status at the College or in the course. These grades do not appear on the student’s transcripts.
Midterm grades serve as an important feedback to students regarding their academic progress approximately midway through the semester. Students are empowered to evaluate their current academic strategies, study techniques, and supports and make improvements where necessary. Midterm grades also prompt students to reach out to their instructors regarding questions or concerns about their progress and use this information to help develop strategies that can support academic success.
Withdrawal
A student may voluntarily withdraw from a course(s), their program or the College in a given term after the term begins. Additionally, students may be involuntarily administratively withdrawn or withdrawn, failing from courses under certain circumstances. The types of withdrawals are listed below.
Definitions
Administrative Withdrawal – Administratively-driven withdrawal from a course(s) prior to the last two weeks of the semester for 15 week courses and by the assigned date posted on the academic calendar for courses that meet for fewer than 15 weeks due to nonattendance. Students who exceed the number of unexcused absences in a course will receive a final course grade of “WA” in each applicable course. Once a student has received a grade of “WA,” they are no longer registered for the applicable course(s) and may not attend the course(s) for the remainder of the semester. This does not simultaneously terminate enrollment from a specific program unless stated by program specific policy. This does not terminate enrollment at the College.
Withdrawal, Failing – Administratively-driven withdrawal from a course(s) prior to the last two weeks of the semester for 15 week courses and by the assigned date posted on the academic calendar for courses that meet for fewer than 15 weeks due to violation of program policy or student conduct. Students who are found to be in violation will receive a final course grade of “WF” in each applicable course. Once a student has received a grade of “WF,” they are no longer registered for the applicable course(s) and may not attend the course(s) for the remainder of the semester. This does not simultaneously terminate enrollment from a specific program unless stated by program specific policy. This does not terminate enrollment at the College.
Course Withdrawal – Student-driven withdrawal from course(s) after the Drop/Add period but before the Withdrawal deadline within an academic semester. Once a student has received a final course grade of “W,” they are no longer registered for the applicable course(s) and may not attend the course(s) for the remainder of the semester. This does not simultaneously terminate enrollment from a specific program unless stated by program specific policy. This does not terminate enrollment at the College.
Academic Program Withdrawal – Student-driven full withdrawal from their current academic program, and if occurring during a semester, withdrawal “W” from program-specific courses. This does not terminate enrollment at the College or from any courses not designated to a specific program.
College Withdrawal – Student-driven full withdrawal “W” from all courses and termination from enrollment at the College.
Withdrawal Procedures
Administratively-Driven Withdrawal Procedure
Students who exceed the number of unexcused absences in a course will receive a grade of “WA” in each applicable course. The student is no longer registered for the applicable course(s) and may not attend the course(s) for the remainder of the semester. All co-requisite courses will also be subject to WA.
Students should expect to receive email notifications when they reach the allowable absences and when they exceed the allowable number of absences.
If student believes they were administratively withdrawn in error, the student should follow appeal process as outlined in the College Catalog.
Administratively-Driven Withdrawal, Failing Procedure
Students who are found in violation of program policy or student conduct will receive a grade of “WF” in each applicable course at the time of the earned failure. The student is no longer registered for the applicable course(s) and may not attend the course(s) for the remainder of the semester. All concurrent and co-requisite courses will be subject to WA as applied by the registrar’s office.
Students should expect to receive an email notification from their registered program or the Dean of Student Success.
If student believes they were administratively withdrawn in error, the student should follow appeal process as outlined in the College Catalog and Student Handbook.
Student-Driven Withdrawal Procedure:
Student:
After consideration, a student looking to withdraw should complete all areas of the Withdrawal Form and submit the form.
Students should expect to receive confirmation when their form is submitted and further confirmation when their withdrawal has been processed.
Administrative Procedure:
Once submitted, program directors approve/reject any and all withdrawal requests.
Upon approval, the Registrar completes the withdrawal process. The official withdrawal date will be the last date of student attendance. The form submission date will be used as the date of determination; the date the College was made aware of the withdrawal.
Guidelines:
Administrative Withdrawal
Non-Attendance initiates administrative withdrawal. Students who exceed the number of unexcused absences in a course will receive a grade of “WA” in each applicable course. Once a student has received a grade of “WA,” they are no longer registered for the applicable course(s) and may not attend the course(s) for the remainder of the semester. The “WA” does not count in the GPA, but does count as a course attempt which may affect the number of times the student can repeat the course. If a student has chosen to withdraw from a program but intends to enroll in a different program offered at the college, they will need to complete the program change process via the program change form.
Course Withdrawals
Course withdrawals will not be permitted during the final two weeks of the semester for 15 week courses and by the assigned date posted on the academic calendar for courses that meet for fewer than 15 weeks; the date of withdrawal may affect enrollment status, Satisfactory Academic Progress (SAP), and financial aid eligibility. While it is the ultimate decision and responsibility of the student to withdraw, it is recommended that a student who is considering withdrawal should consult with their advisor, program director, or other college faculty and Financial Aid advisor in order to make the most informed decision.
Student-Driven Withdrawal
A student who chooses to withdraw from a course(s) prior to the Withdrawal deadline posted on the academic calendar will earn a grade of “W.” Once a student has received a grade of “W”, they are no longer registered for the applicable course(s) and may not attend the course(s) for the remainder of the semester. The “W” does not count in the GPA but does count as a course attempt which may affect the number of times the student can repeat the course. Consequences
Financial liability is a component of the withdrawal process.
